What we do with what you send us
Short version: we use your details to answer you and to look after your machine, and for nothing else. No advertising, no mailing list, and visitor statistics only if you say yes.

When you send the enquiry form
Your name, your email, your country, and whatever you choose to add: company, machine and serial number, your message, how you found us, and any photos, videos or documents you attach. We use them to answer your enquiry, to quote, and to do the work if you go ahead. The legal basis is taking steps at your request before a contract, and our legitimate interest in answering the people who write to us.
The form also records the IP address it was sent from, as a guard against abuse. It is deleted automatically after 30 days.
When you just visit
Fonts and images come from our own server, and nothing else is loaded from third parties unless you accept statistics cookies. If you do, we use Google Analytics to count visits and see which pages are read and how people found the site. The legal basis is your consent. Google Ireland processes this for us with its advertising features switched off; the data is kept for 14 months and Google’s cookies (_ga) for up to 13 months. Some of it may be transferred to the United States under the EU–US Data Privacy Framework. If you refuse, nothing from Google is loaded. Your choice is kept in one small cookie for six months, and you can change it at any time with “Cookie settings” at the bottom of every page. Like any web host, ours keeps short-lived technical logs (IP address, page requested, time) to keep the service running and secure.
If you are a customer
We keep a record of your machine and the work we did on it, because it makes the next job faster and it is what the warranty rests on.
Nobody we sell it to, and nobody for marketing. Our website and email are hosted by OVHcloud in the European Union, who process the data only to provide that service. Apart from Google Analytics, if you accept it (see above), nothing is transferred outside the EU. If a job needs a carrier, they get the delivery address and nothing more.
Enquiries that don’t lead to any work are kept for six months, then deleted. Customer and machine records are kept for as long as we look after the machine, and invoices for as long as Belgian accounting law requires. Uploaded files are kept with the enquiry they came with.
You can ask to see the data we hold about you, have it corrected or deleted, restrict or object to how we use it, or receive it in a portable form. Write to Meheenfill-service.eu and we’ll answer within a month, usually much sooner.
If you think we’ve got it wrong, you can complain to the Belgian Data Protection Authority (Autorité de protection des données / Gegevensbeschermingsautoriteit), dataprotectionauthority.be.
